Enabling the future of scout work
Det Danske Spejderkorps approached us with a complex challenge: their existing monolithic system (Odoo) was limiting the organisation’s ability to offer meaningful, modern digital experiences to scout leaders, scouts, and parents. Before investing in a new technical architecture, DDS wanted to understand the real needs, pains, and behaviours across their core audiences and answer the fundamental question raised in their own material: "How do we want to IT-enable scout work in the future?"
Learning fast through AI prototyping
Abtion led a strategic pre-study combining user research, technical assessment, and co-creation, in order to explore what a future digital ecosystem should enable — not just technically, but practically for volunteers and families. We conducted interviews with volunteers across Denmark, combined with collaborative workshops with the DDS administration. We mapped the daily challenges, organisational ambitions, and opportunities for digital transformation. Several key themes emerged when synthesising the findings, and together with DDS we explored future solution directions. Rather than building a full platform upfront, we focused on learning fast by prototyping an AI-driven solution to simplify number one pain point - meeting planning for busy volunteer leaders. By choosing a small, controlled AI experiment, we helped DDS learn quickly, de-risk decisions, and add value without touching the monolith.

AI-powered meeting planner in just a few days
Drawing from existing content and resources
We built an AI-powered scout meeting planner in just a few days — drawing on existing content and activity data, and tailored to the real needs uncovered in the research. It frees up time by generating a 3-month meeting plan based on age group, season, and weather conditions. Drawing from existing DDS resources and structured content. Highlighting potential conflicts, such as local holidays.
Delivering immediate value at minimal cost
In one strategic discovery process and an AI-driven prototype, we helped DDS rethink how digital tools can support leaders, scouts, and parents — and delivered immediate organisational value at minimal cost. Choosing a lightweight experiment enabled us to validate a central recommendation, and demonstrated how AI can meaningfully support volunteer-driven work. It also gave DDS a concrete example of how future IT architecture could be shaped around real tasks and user needs — not just technical assumptions.
